Privacy notice
Your pet’s photo should be handled with care, used for a clear reason and kept out of the public gallery unless you give permission.
Information we collect
- Contact details needed to answer a message or support an order.
- Uploaded pet photos, portrait notes, chosen direction and proof feedback.
- Order and payment-status details needed to complete the purchase and connect it to a portrait request.
- Support messages and any order number you choose to provide.
- Basic technical and security information created when the website is used.
How we use information
We use information to review photos, prepare proofs and final portraits, process and support purchases, deliver files, answer messages, prevent misuse and meet accounting, security or legal obligations. We do not sell uploaded pet photos or use a customer portrait as a public example without permission.
Photos and portrait files
The photo form accepts one JPG, PNG or WebP file up to 10 MB. Uploaded source files are stored in a restricted server directory rather than the public WordPress media library and are available to the authorized studio administrator. Deleting the related studio request also removes its stored source file.
Final customer PNG files are placed behind signed, expiring download links. A link is active for 14 days after it is created.
Payments
PayPal handles the payment step. KeptPaw receives the order and payment-status information needed to fulfil the purchase; do not send PayPal passwords or complete payment-card numbers through a KeptPaw form or support email.
Retention and requests
We keep information only as long as it is needed for the portrait request, delivery, support, accounting, security or applicable legal obligations. To ask for access, correction or deletion where applicable, email hellow@keptpaw.com from the address connected to the request. We may need to verify the request before acting on it.
Website services
WordPress, WooCommerce and PayPal support the site, store and payment flow. These services may process technical, order or payment information as needed to provide their part of the service and apply their own privacy terms.
Analytics and cookies
When analytics is enabled, KeptPaw uses a consent banner and loads Google Analytics only after you choose to allow analytics cookies. The analytics setup is designed to receive aggregate page, product, checkout and purchase events—not names, email addresses, phone numbers, order keys, uploaded file names, photo URLs or form text. Analytics event data is configured for a 14-month retention period. You can withdraw analytics consent at any time through Cookie Settings; withdrawing consent does not affect checkout or delivery.
Transactional email
When configured for the service, transactional messages such as order, support and delivery notifications may be sent through Brevo on behalf of KeptPaw. Incoming messages sent to KeptPaw support aliases may be forwarded to the studio inbox through ImprovMX. These providers process message metadata and content only as needed to deliver or respond to the request and apply their own privacy terms. Marketing messages are not sent through the order-notification channel.
Changes to this notice
We may update this notice when the service or legal requirements change. The current version and update date will remain available on this page.
